In 2022, we launched our first annual Purview Governance survey – the latest in a series of surveys designed to collect and share valuable information within the world of Information Governance. This year we bring you updated results, fresh from IG professionals. The survey explores organizational use of Purview (previously M365) – a product available since July 2017. In addition to providing a cloudbased SaaS model for Microsoft Office products, it has a number of
features and tools which are of relevance and interest to Information Governance professionals. In April 2022, the M365 Compliance portfolio was updated to Microsoft Purview to provide “a comprehensive set of solutions to help govern, protect, and manage entire data estates”. Our latest survey results – collected from 200 IG professionals – provide a wealth of current and insightful information, spotlighting how organizations across the US, UK and beyond use, and feel about, Purview.

9 Key Messages

  1. 94% in fact. These challenges are often rooted in an insufficiency of end user training (both in terms of budget and resources), despite formal training increasing in a number of organizations over the last year. This is often accompanied by a lack of Change Management effort – in the context of the finding that Change Management has become less influential in Purview rollout. A lack of Management support and direction, budget, and end user resistance to change add to the challenges faced.
  2. In almost 70% of organizations, Change Management does not play a key part in Purview rollout, with survey data revealing it’s importance is declining.
  3. Whereas in 2022, over 70% of employees were using Purview, this has now shrunk to just over 60%. Purview use is highest among organizations conducting IG business solely within the US, with UK organizations now with the lowest percentage of Purview users. As in 2022, smaller/medium sized organizations tend to have the highest proportion of users.
  4. A rise from 40% to 49% is evident in the last year. This is a figure which decreases to just 40% of UK users, but which rises to almost 80% of those employees in small/medium sized organizations – for whom training is clearly more of a focus.
  5. However, those organizations conducing IG business solely in the UK are most likely to anticipate an increase in Purview users this year.
  6. On average, just 3 of the 10 Purview IG functions which respondents were asked about are being utilized. Overall, Retention Policies continue to lead the way in terms of Purview IG functionality being regularly used within organizations. However, note that Sensitivity Labels/DLP has become increasingly well used within organizations in the last year.
  7. As in 2022, very few are making use of Advanced Governance Workflows (just 10%). Further examples include just 14% of organizations making the retention property mandatory and just 19% using data connectors.
  8. In the context of security vulnerabilities, APIs are often side-lined. However, their popularity is higher among businesses conducting solely US based business.
  9. Note a rise from over the last year from 33% to 46% of organizations using Purview’s tools to preserve data. More organizations are also utilizing Purview’s classification features (rising from 32% to 40% over the last year). This is particularly evident in relation to using sensitivity tags for security data classification methods.
